This notice explains how RapidBuild handles personal data when someone visits the website, contacts the business or uses a RapidBuild service, including B2B prospect research, AI-assisted work, business systems, websites and digital projects.

1. Who RapidBuild is
RapidBuild is a sole trader business trading as RapidBuild and based in Scotland. RapidBuild provides services to customers throughout the United Kingdom, including England, Scotland, Wales and Northern Ireland. The public contact email is hello@rapidbuildhq.co.uk.
RapidBuild does not publish the owner’s residential address on the public website at this stage. If a postal address is legally required for a particular disclosure, it will be provided where needed in the relevant context.
2. Information we may collect
Depending on how you interact with RapidBuild, we may process information you provide directly, information generated during the service, and limited technical information from the website or our hosting provider.
- Enquiries and contact details: name, email address, phone number, business name, role, enquiry content and any message you send.
- Customer and project information: project briefs, notes, deliverables, files, approvals, revisions, communication history, quote information and delivery records.
- Prospect research inputs and outputs: business names, websites, public contact routes, job titles or roles published by the business, locations, context gathered from public sources, and the resulting prospect packs or outreach material.
- Invoice and payment information: invoice details, payment references, payment status and correspondence about payment requests, bank transfer payments or Stripe/card payment links where used.
- Technical or server information: limited information generated by the website or hosting/security stack, such as IP address, date and time of access, requested pages, browser type and basic logs needed to keep the site secure and functioning.
RapidBuild does not intentionally collect special category data unless it is necessary for a project and is knowingly provided. If that happens, we will handle it in line with applicable law and the project context.
3. How we use information
We use information to:
- respond to enquiries and discuss potential projects;
- scope, quote for and deliver services;
- prepare B2B prospect research and related outreach material;
- issue invoices, payment requests and payment links, and reconcile payments;
- keep business records and manage the customer relationship;
- follow up on enquiries or completed work where appropriate;
- maintain, protect and improve the website, systems and workflow; and
- comply with legal, accounting, tax, dispute-handling and similar obligations.
4. Lawful bases
Depending on the context, RapidBuild may process personal data under one or more of the following lawful bases under the UK GDPR and Data Protection Act 2018:
- Contract: where processing is needed to deliver agreed services or manage a customer relationship.
- Pre-contract steps: where processing is needed to respond to an enquiry or prepare a proposal at your request.
- Legitimate interests: where RapidBuild has a genuine business need, such as running the business, responding to enquiries, delivering services, maintaining records, protecting the business, preparing B2B prospect research, or following up on genuine business enquiries, and where those interests are not overridden by your rights and interests.
- Consent: where it is genuinely the right basis for a particular activity.
- Legal obligation: where RapidBuild must keep or disclose information for tax, accounting, regulatory or similar reasons.
Where RapidBuild relies on legitimate interests, it will do so only after considering the context, the nature of the data, the recipient, the purpose and the expected impact on the individual concerned.
5. B2B prospect research and indirectly obtained personal data
RapidBuild Prospecting is a B2B prospect research service intended for business prospect research only. It is designed to build a useful starting point for business development rather than to create indiscriminate contact lists or consumer-data databases.
In that work, RapidBuild may obtain personal data indirectly from public sources rather than directly from the person concerned. Those sources may include business websites, public directories, professional profiles, published company information and other public business records. Where we collect indirectly obtained personal data, we aim to do so in a way that is relevant, proportionate and transparent in context.
Where relevant, RapidBuild recognises that UK GDPR may apply to identifiable business contacts, that legitimate interests may be an appropriate basis in some cases, that PECR imposes separate rules for electronic marketing, and that corporate subscribers, individual subscribers, sole traders and some partnerships may be treated differently under those rules. Customers remain responsible for how they use the resulting information and for obtaining their own advice where needed.
7. International transfers
Some of the services RapidBuild uses may process data outside the UK. Where that happens, RapidBuild will aim to use appropriate safeguards or lawful transfer mechanisms available at the time, taking account of the nature of the data and the service involved.
8. Retention and security
RapidBuild keeps personal data only for as long as it is reasonably needed for the relevant purpose, including running the business, delivering services, responding to questions, handling disputes and meeting accounting, tax or legal obligations.
- General enquiries: normally up to 24 months.
- Customer and project records: normally up to 6 years after the relationship or project ends where that is reasonably required for contractual, dispute-handling, accounting or record-keeping purposes.
- Invoice and accounting records: retained for the applicable statutory accounting or tax period.
- Prospect research data: retained only for as long as reasonably required for the relevant service and legitimate business purpose.
- Marketing information: kept until consent is withdrawn, a recipient opts out, or the information is no longer reasonably required.
- Suppression records: may be retained where necessary to ensure opt-outs and marketing preferences continue to be respected.
We take reasonable steps to protect information from unauthorised access, loss or misuse, but no online system can be guaranteed to be completely secure.
9. Your rights and the ICO
Where UK data protection law applies, you may have rights to request access to your data, ask for correction, request deletion, restrict processing, object to certain processing, withdraw consent where consent is used, and in some cases receive your data in a portable format.

10. Marketing, PECR and opt-outs
RapidBuild may undertake proportionate B2B prospecting and follow-up marketing where lawful, including relying on legitimate interests where appropriate. Direct marketing messages should include a clear way to opt out, and objections or opt-outs must be respected.
RapidBuild will consider the applicable PECR rules when sending electronic marketing and will not assume that every B2B contact can be approached in the same way. Where relevant, RapidBuild will take account of the distinction between corporate subscribers, individual subscribers, sole traders and some partnerships.
12. Changes and contact
RapidBuild may update this notice from time to time. The version published on the website at the time of your interaction will normally apply unless a different version is required by law or agreed in writing.
